How to find an assessment in your list, filter and search to narrow it down, check its status, preview it, and change which units it covers.
Who this is for: Administrators and User Managers.
Before you start
- You need an Administrator or User Manager role. If you can see Assessment Management in the menu, you have access.
- This is where you find and manage assessments that already exist. To build a new one, see Build and publish an assessment.
- You'll only see assessments for the units you have access to.
Open your assessments list
- Open Assessment Management from the menu.
- Go to the Assessments tab.
You'll see every assessment for your units, one per row, with its name, the units it covers, when it was last updated, and its status.
Find the one you're after
- Search by name using the search box.
- Filter the list by Org Unit, Org Unit Type, or Status. You can combine filters to narrow things down, for example all Published assessments for a particular ward.
- If an assessment covers several units, the list shows the first few and a "+ more" link to see the rest.
Read the status at a glance
The Status column tells you where each assessment is:
| Status | What it means |
|---|---|
| Published | Live. Your team can complete it now. |
| Draft | Still being built. Not yet available to your team. |
| Published and Draft together | It's live, and you also have unpublished changes saved in a draft. Your team sees the published version until you publish those changes. |
Two different things are called a "draft". The Draft status here means an assessment you're still building and haven't published, so your team can't see it yet. That's different from the completion drafts your frontline team creates when they start filling in an assessment but haven't submitted it. Those are separate, and covered in Find and pick up a draft.
Preview an assessment
Click Preview on any assessment to open it in a new tab and try it as your team would. For a published assessment this previews the live version; for a draft it previews your working copy. Nothing you enter is saved. See Build and publish an assessment for more on previewing.
Edit an assessment
Click Edit to open an assessment and make changes. This takes you into the builder, where you can change its questions, scoring, and setup. Your changes save to a draft as you work, and your team keeps seeing the current published version until you publish again.
For how editing affects assessments already in progress, and how drafts and published versions work, see Edit a published assessment.
Change which units an assessment covers
There's no separate step for assigning an assessment to units. You change its units the same way you change anything else: by editing it and publishing again.
- On the Assessments tab in Assessment Management, find the assessment and click Edit.
- Go to the first step of the builder, where you set up the basics.
- Under Access & Visibility, add or remove units in the Org Unit field. You need at least one.
- Continue through to the end and publish.
Until you publish, the assessment remains available against its current units. The change takes effect for new assessments started after you publish.
Tips and troubleshooting
- I can't find an assessment. Check your filters aren't hiding it, and clear the search box. Remember you only see assessments for the units you have access to.
- There's no Edit button. Editing needs an Administrator or User Manager role. If you have the role and still can't edit, it may be a locked Tendable-managed assessment. See Edit a published assessment.
- My unit change isn't showing for my team. Changing units is an edit, so you need to publish for it to take effect, and only new assessments started after publishing will use the updated units.
- Removing or retiring an assessment. There's no self-serve way to archive or delete an assessment in-product yet. If you no longer need one of your assessments, contact Tendable.
